Office 2007 - Accessing Multiple Clipboard Items
Copying and pasting a large number of items (text or images) into Microsoft Office documents can be time-consuming, especially when the same items need to be copied and pasted in different places. Today’s tip will show you how to manage up to 24 items in the clipboard at once for quick access.
Every time you copy, cut or paste an item in Microsoft Word, PowerPoint, Excel or Outlook it goes into a common holding area called the clipboard. Since the clipboard is shared between Office applications, the contents are identical, making it simple to access clipboard items when you are using (for example) Word and PowerPoint at the same time. You can easily copy graphics from a PowerPoint presentation and text from an Outlook message and paste them into the same document. The clipboard contents will remain intact until you quit out of all Office programs. When over 24 items have been added, the oldest item will be automatically removed from the list.
1. To view the clipboard’s contents, first click on the Home tab, then click on the little arrow next to the word “Clipboard”. A window will open which shows the most recent 24 items (or less) that you have cut, copied or pasted. You can have multiple documents open at once, and they will all have access to the same clipboard items.

2. To put a new item into the Clipboard, highlight the desired text in your document or click once on an image to select it. Next, use one of the keyboard shortcuts (Ctrl-X for cut; Ctrl-C for copy; Ctrl-V for paste). The new item is added to the top of the Clipboard list.
3. To select an item from the clipboard and paste it into your document, move the mouse pointer onto the desired item and click once on the item. A copy will be pasted into your document at the spot where the cursor is blinking. Each time you click on an item, an additional copy is pasted into the open document.

4. To clear the clipboard, click on the Clear All button in the Clipboard window. To delete individual items, move your mouse pointer over the item so you can see the small black triangle. Click on the triangle and select the Delete option. To paste everything from the clipboard at once, click on the Paste All button.


5. To close the Clipboard window, click on the “x” in the upper right corner.
