Changes to the Global Address Book
This week's Computing Tip describes the changes to the Global Address Book, Global Address Lists that is occurring to make include the UW Extension structure and to make the Lists more user friendly. Remember, if you have ideas for the Computing Tip of the Week, please send them to Pat Fellows.
Changes to the Global Address Book
Currently the Global Address Lists in the Global Address Book (GAL) shows a long list of UW Colleges lists and one list for UW Extension. With the migration of UW Extension faculty and staff to Outlook, it is a good time to restructure the Global Address Lists and also clean up the list. We have learned that many of those lists were seldom used. So, on Monday, Dec. 11, the Lists in the GAL will be updated.
There are several ways in Outlook to access the GAL. One is to click on the address book icon on the Toolbar.

The Address Book opens. The change that will take place on December 11 will happen in the area Show Names from the:, which is outlined in red in the image below. The red arrow points to the arrow that will drop down the complete selection of Global Address Lists.
When you click on the arrow next to the Show Names from the: text box, a list drops down. Beginning on Monday the list will look like this! It will include links to lists for all the groups listed.

Open "Show Names from the:" with your most commonly used list
To set "Show Names from the:" to display your most commonly used list, click on the Tools menu, and then click on Options. This will open the Addressing Dialog Box.
In the Addressing dialog box, click on the arrow and select the list you use most often. This example shows the .UW Extension Staff list was selected as the list to show first. Then click on OK. The next time the GAL opens anywhere in Outlook, this list will be the default list and will show the names or groups that are part of this list in the GAL window.

Remember the GAL will change on Monday, December 11, 2006, so wait until after the change is made before customizing the list to fit your work style.
