Outlook - How to work with the new UWC email addresses

Over the next several weeks all faculty and staff in the UW Colleges will have their email address and network logon changed to a new naming convention. This new format <FirstName>.<LastName>@uwc.edu will require some getting use to for us as users when it comes to addressing email messages.

Today's tip, shows users how to efficiently work with the new email addresses in Outlook.

Addressing Emails

When writing an email, Outlook remembers addresses of those users we commonly correspond with. So, one can start typing the email address and in many cases Outlook will finish the name for you. With the new email addresses, Outlook will no longer recognize the old format.

To address an email to users with the new naming convention, the best method is to type the user's last name and then click on the Check Names button.check names button This will either pull up the name right away or give users a list of names in the Check Names dialogue box to select from. Select the correct user, click on OK, and they will be added to the To: line. Outlook will remember the users and in the future their name should come right up as long as their last name is used when entering them into the To: line of an email message.

The other option that will allow for a quick search is to just open the Global Address Book (GAL) and look up the user by their last name in the GAL. To open the GAL, click on the Address Book icon.
